Chick-Fil-A Fundraiser – 2017 Cow Calendars

We have the opportunity to participate in a fundraiser at Chick-Fil-A at Turfland.  The 2017 Chick-Fil-A Cow Calendars are not yet available to the general public.  However, thanks to Chase Harberson (band member and Chick-Fil-A employee), the Lafayette Band is able to purchase the calendars for $7.00 on Monday evening.  For each calendar purchased, the band will receive $3.00.  The calendar contains monthly coupons for food savings throughout the year.  Please stop at Chick-Fil-A on Monday evening from 6:00pm – 8:00pm and look for Chase at a table near the entrance.

“18 and Counting” T-Shirt Order

Download Order Form

Thanks to several parents and students, we have “18 and Counting” shirts available for pre-order.  The shirts are black with blue writing (inverse of show shirts) and are available in short sleeve, long sleeve, crewneck and hoodie sweatshirts.  The shirts are only available with pre-order and pre-payment.  Orders must be delivered to the band store by 6:30pm tomorrow night (Monday).

Fundraising Notes

Cheese and Sausage Money Collection
Thank you to all who helped make this fundraiser a success!  Money collection for sold items and “in lieu of payments” will be in the student parking lot this week.

Fruit and Wreath

·         Fruit and wreath sales started this week and will continue until November 28.  Place your order with any band member, by phone at 859-559-0333 or on the website.  Pick-up and deliveries will be on December 10.

·         Sell 10 items by October 22 and receive a Chick-Fil-A gift card and your choice of a Lafayette Band water bottle or ornament.  Text a copy of the order sheet to Crystal Taylor (859-351-7522) or Carole Howell (859-420-7845).

·         The “in lieu of payment” is $50.

Kroger

The holidays are fast approaching, which means LOTS of trips to Kroger!  Please make sure you register your Kroger Plus Card and encourage your friends and relatives to do so.  Everyone can participate, even those that live in a different state.  The Kroger Community Rewards number for the Lafayette Band is #10043.  Please purchase your holiday gift cards at Kroger – you will earn 4x fuel points!

Bingo Volunteers

This is the busy time of the marching season – and Bingo is our biggest fundraiser!  The marching season is expensive and we need profitable nights at Bingo (right now!) to cover staff payments, buses, food for students, uniform cleaning, etc.

Our profit each night is from pull tab sales.  Our large crowds are ready to buy – and we need volunteers to sell!  More sellers make it easier on everyone!  Every family is asked to volunteer for 12 nights at Bingo per year.  Please respond to Casie’s email messages and sign-up on Tuesday or Thursday (6:00pm – 8:00pm or 8:00pm – 10:00pm) and come to the Bingo Hall in Keithshire Shopping Center.  You will meet great parents and help support the band!

Family Payment Agreements

PLEASE NOTE: Family payments form the basis of the annual budget and our instructors and staff rely on us for their earned pay.  However, we are unable to provide payment because many families have not completed the agreement.

Family payments for 2016-2017 are $1,100 and were due in August – or an additional late payment of $150 for the “deferred payment schedule” was added per the payment agreement.

For those who have not paid, or are behind in their payments, please be responsible – others are relying on you.  If you have questions or concerns, please contact Mr. Smith at chuck.smith@fayette.kyschools.us or 859-396-3311 for a confidential payment arrangement.

Events in Preparation for KMEA State Finals

Encouragement Signs

Let’s show the students and staff how much we support them and congratulate them on a wonderful marching season!  Parents, family members, alumni, and friends are welcome to make encouragement signs and posters (e.g., “We Believe!” or “Go Lafayette!”).  We will line the perimeter of the band field during the final run on Friday, October 28 at 6:00pm.  Please join us for this annual and exciting tradition!

Prayer Around the Flag Pole

Bob Soper will lead the annual Prayer Around the Flag Pole on Friday, October 28 at 5:30pm.  Parents and family members are invited to pray for each band member, staff, section, and circumstance.  We will meet rain, snow, or shine and will finish in time to watch the final run at practice.  This activity is not sanctioned by the LBA and is optional.

BAND MEMBERS — It is very important to check and double-check the items in your Red Bag prior to every performance! Make certain all required items are present, clean. This is important information to remember prior to every football game and competition!

Parents and Students — Carefully review these instructions:

  • Bring money for gloves if needed. – $6.00
  • Clean and polish shoes
  • Have your band camp shirt to wear under your uniform.
  • Wear long white socks – plain, no stripes! (It’s good just to keep an extra pair of socks in your bag)
  • Bring white shorts to wear under your uniform.
  • If there is a problem with your uniform, see a member of the uniform team.
  • We always appear in public dressed in full uniform unless Mr. Smith or Mr. Bishop have informed the students otherwise.

Hair should not touch the collar when dressed in uniform, therefore, students with longer hair should bring items to secure their hair in a ponytail or purchase a wig cap.  Wig caps can be purchased from the Uniform Team for $1 for a package of 2 caps.

Have class – YOU are the “PRIDE OF THE BLUEGRASS”! Always support other performing groups! Refuse to say anything negative, no matter what might be said to you.

Food for KMEA Quarterfinals

Cookies
The band loves cookies, brownies, and rice crispy treats on contest days.  If you can bake (or buy) 2 or 3 dozen cookies, deliver to Stacey Stone (a.k.a. ‘The Cookie Lady’) on Saturday morning as you drop off your student.  Due to allergies, please no peanut butter, nuts or sesame seeds.

Meals
Make sure students eat breakfast before practice begins at 8:00am on Saturday morning.  We will be serving lunch and dinner. We will have a vegetarian option for those students who have made this request. If your student will not eat the meals provided, please send a packed meal for them.  It will be a long day and no one should go hungry.
Lunch – Sub sandwiches
Dinner – Fazoli’s

Want to help serve lunch or dinner?
We need volunteers to help serve lunch and dinner at Lafayette on Saturday.  If you are interested in helping with lunch (serving at 11:00am) or dinner (serving at 5:00pm), please contact Jane DeRossett (fullpantry@hotmail.com or 859-396-5387).

Medications for Quarterfinals

If your child needs to take prescription or over-the-counter medication during the day on Saturday and we do not have a physician’s signature on file, you will need to complete and return the “2016 Medical Prescription Form” found under the FORMS link on the Lafayette Website (www.lafayetteband.org).

Return the completed form and the medication needed for that day only in its original container to any chaperone at the blue building next to the practice field. We will take medications for the Tates Creek contest on:

Friday: 5:00pm -6:00pm (before the football game)
Saturday: 8:00am – 9:00am

Please note that over-the-counter medications must be accompanied by a physician’s signature on the FCPS form noted above.  If a physician has already signed the LBA Medical Form then you are not required to submit an additional form for the OTC medications included and initialed.

If you have any questions you may contact Mike Booth (mikeboothgm@gmail.com).

Charms Database

The Lafayette Band uses Charms, a web-based organizational software system to track student contact information, financial statements, email communication, and more.

To log into Charms, go to www.charmsoffice.com.  Click “Enter” on the top menu and click “Parents/Students/Members” on the dropdown list.  Login using the school code “lhsband” and enter your student ID/password.  If you need your student ID, please contact Liz Booth at lafayettebandaccounts@gmail.com. The student ID is assigned by Charms and is a combination of letters and numbers.

If your student has an outstanding balance, you will receive a monthly financial statement.  The monthly payments will be billed individually in the Fixed Payment ledger.  Amounts received that are less than the billed fixed payment amount will be temporarily stored in the Miscellaneous ledger.  When the amount in the Miscellaneous ledger is sufficient to pay a monthly payments, we can transfer the amount to the appropriate fixed payment.

Band payments may be paid by cash, check, credit card or money order.  Checks and money orders should be made payable to “LBA” (please note the student’s name) and mail to:

Lafayette Band Association
PO Box 910396
Lexington, KY 40591-0396

All Volunteers

Fayette County Public Schools requires a background check for anyone who volunteers in or with the schools.  Please submit to a new background check or verify the date on your current background check by clicking on this link.  Please complete the background check prior to the start of band camp.  This must be completed in order to volunteer in any capacity with the band (e.g., serve meal at band camp, field crew, uniform crew, etc.). Contact Brenda Boggs at bsbboggs@yahoo.com with any questions.
