M2 Schedule and Payments

Parents and Students — Carefully review these instructions:

  • Bring money for gloves if needed.  $6.00
  • Have your band camp shirt to wear under your uniform.
  • Wear long white socks – plain, no stripes! (It’s good just to keep an extra pair of socks in your bag)
  • Bring white shorts to wear under your uniform.
  • If there is a problem with your uniform, see a member of the uniform team.
  • We always appear in public dressed in full uniform unless Mr. Smith or Mr. Bishop have informed the students otherwise.

Hair should not touch the collar when dressed in uniform, therefore, students with longer hair should bring items to secure their hair in a top knot or purchase a wig cap.  Wig caps can be purchased from the Uniform Team for $1 for a package of 2 caps.

Have class – YOU are the “PRIDE OF THE BLUEGRASS”®! Always support other performing groups! Refuse to say anything negative, no matter what might be said to you.

The cost of tickets for prelims and finals is $10.
The first band performs at 1:00pm and Lafayette performs at 4:00pm.

Medications for the Bourbon County Contest

 

If your child needs to take prescription or over-the-counter medication during the day on Saturday and we do not have a physician’s signature on file, you will need to complete and return the “2016 Medical Prescription Form” found under the FORMS link on the Lafayette Website (www.lafayetteband.org). 

Return the completed form and the medication needed for that day only in its original container to any chaperone at the blue building next to the practice field. We will take medications for the Bourbon contest on:

Thursday: 5:00pm – 6:15pm
Friday: 5:00pm – 6:00pm
Saturday: 8:00am – 11:00am

Please note that over-the-counter medications must be accompanied by a physician’s signature on the FCPS form noted above.  If a physician has already signed the LBA Medical Form then you are not required to submit an additional form for the OTC medications included and initialed.

Uniform Crew Update

Shoes and Gloves

GLOVE CLARIFICATION – Our cost for gloves increased, resulting in the new price of $6 for both grip and non-grip gloves. We sincerely apologize for any confusion and inconvenience in sharing this information in a timely manner.

First contest this week!!!!!!

·         Make sure you have a band camp shirt, white shorts and LONG white socks!  If not, see Amy King (aka Mama Waffles) in the band room on Wednesday at the end of rehearsal.

·         Make sure your shoes are clean and ready to go!  Ideally, they should be cleaned no later than Friday night so they are dry before packing in your red bag.  If you are missing your shoes, please see Mama Waffles in the band room on Wednesday at the end of rehearsal.

·         Red bags are here!  If you didn’t pick up your bag on Friday, please see Mama Waffles after rehearsal Wednesday.  Your red bag needs to contain deodorant, band camp shirt, white shorts, LONG white socks and marching shoes.  You will probably want to bring sweats or other comfy clothes for the bus ride home.  If the forecast calls for rain, it’s handy to bring Walmart bags for muddy shoes or wet items.  You’ll also need to remember items to contain your hair.

·         Speaking of hair….hair MUST be contained in your hat, it MUST NOT touch the collar of your uniform.  Guys, if you opt to not get a haircut, you will be required to wear a wig cap to contain your hair on Saturday.

·         No visible jewelry is allowed in uniform.  If you have piercings that cannot be removed, please cover with a skin-tone Band-Aid. 

·         No nail polish is allowed in uniform.  Please remove nail polish for the contest.

·         Please bring $6 for gloves if you need another pair. We will be selling them at the contest.

Lafayette Band Invitational – “A Beautiful Day”

 

The Lafayette Band Invitational on September 17 is going to be a fun and exciting day for the Lafayette Band!  This is the first time we have hosted a contest and it is going to be “A Beautiful Day!”  There will be 9 well-known and highly successful bands participating and we anticipate several thousand people will attend the Invitational.  The information and online ticket sales for the Lafayette Band Invitational has been posted at www.lafayetteband.org/libc/

We need all families and students to volunteer to be a part of this great event!  Please click on the appropriate link below to sign-up for at least one or two shifts.  The success of the day will be dependent upon our awesome students and parent volunteers!  All volunteers will receive free admission to the Invitational.

There are volunteer opportunities in concessions, ticket sales, parking, stadium ushers, band guides, and more!  The volunteer schedule is divided into 3-hour shifts during the day and evening and designated for adults and students.  It promises to be a fabulous experience for everyone and a significant day in the great history of the Lafayette Band!

PLEASE step up, sign-up, and help make this a great success for Lafayette and our invited bands and their families! 

Keep bringing those canned Pepsi products and Aquafina water bottles to the Bingo Hall to sell at the Invitational!  Each 24 pack of soda will be worth $24 in sales.  Thank you!

We need a 12×12 canopy to cover the satellite concession stand.  Contact Jim or Jane DeRossett if you have a canopy available.

Band Store Update

 

The band store will be open on Friday, September 9 from 5:30-6:30.  This is the night before the Bourbon County contest, so please stop by and pick up your show shirts!  All pre-orders have been sorted and will be available for pick-up on Friday evening.  For those families who did not pre-order, there is a limited quantity of short sleeve and long sleeve shirts available.  The second round of custom orders are ready as well.  If you placed a custom order, please stop by and pick it up.  We still have one order from the June 30th order that needs to be claimed.  

 

Family Payments Agreements

 

Family payments for 2016-2017 are $1,100 and should have been completed by August 15 but we extended the deadline to August 31 due to transitional issues with the Charms database.  However, if the payment was not complete by August 31, there will be an additional late payment of $150 for the “deferred payment schedule,” per the payment agreement.  If you have questions or concerns, please contact Mr. Smith at chuck.smith@fayette.kyschools.us or 859-396-3311 for a confidential payment arrangement.

Please continue to be financially responsible and complete your family payments in a timely manner.  This is the most expensive time of the marching season and we need to provide payments for meals, show design, transportation, and musical instruction.  Our instructors would appreciate receiving payment for their hard work and dedication to our students.  Thank you.

 

Charms Database

 

The Lafayette Band uses Charms, a web-based organizational software system to track student contact information, financial statements, email communication, and more. 

To log into Charms, go to www.charmsoffice.com.  Click “Enter” on the top menu and click “Parents/Students/Members” on the dropdown list.  Login using the school code “lhsband” and enter your student ID/password.  If you need your student ID, please contact Liz Booth at lafayettebandaccounts@gmail.com. The student ID is assigned by Charms and is a combination of letters and numbers. 

If your student has an outstanding balance, you will receive a monthly financial statement.  The monthly payments will be billed individually in the Fixed Payment ledger.  Amounts received that are less than the billed fixed payment amount will be temporarily stored in the Miscellaneous ledger.  When the amount in the Miscellaneous ledger is sufficient to pay a monthly payments, we can transfer the amount to the appropriate fixed payment. 

Band payments may be paid by cash, check, credit card or money order.  Checks and money orders should be made payable to “LBA” (please note the student’s name) and mail to:

“Remind” System to Communicate Information

 

The Lafayette Band uses the “Remind” system to communicate important information to students and families.  The students have been encouraged to join the appropriate “remind” groups to receive updates, schedule changes, and reminders from the band directors.  Families are welcome to join.

Chaperone Crew Update

 

MEDICAL FORMS
We still have a few students that have not turned in mandatory medical forms.
These forms are for your child’s safety and are very important for not only proper medical treatment but so that we can reach you as quickly as possible. You can find the forms at www.lafayetteband.org in the forms section or stop by the blue chaperone building next to the band field and we’ll be glad to provide a form that you can fill out right there.

CONTINUE TO USE WATER JUGS
Students need to continue to bring their water jugs to practice throughout the band season. In the past, the marching band would easily use over 20,000 Styrofoam cups during a typical marching season. Personal water jugs are not only environmentally friendly but they save LBA parents over $600 a season.   Mr. Smith will provide a location for the students without lockers to store their jugs for easy access. 

COLOR GUARD PRACTICE CHAPERONES NEEDED
Our goal is to have two chaperones at every band practice. Color Guard parents are needed to help Chaperone the late after school practices. Guard practices late on Monday and Tuesday (5:30-8:30) and Thursday (5:00-8:00).

Fayette County Public Schools requires a background check for anyone who volunteers in or with the schools.  Please submit to a new background check or verify the date on your current background check by clicking on this link.  Please complete the background check prior to the start of band camp.  This must be completed in order to volunteer in any capacity with the band (e.g., serve meal at band camp, field crew, uniform crew, etc.).
